As can be seen, the big rent cheque went through, we have still to get the income from one of those Saturdays (the Blood Bowl event).
We need someone who can do the bookers shop and present a receipt for a cheque (or cash if it is small enough).
We have stocked up on a few raffle prizes, and role play books (rather than putting the books in the raffle we have simply put them in the role play box, then everyone who is a role palyer can benefit rather than the usual gripe of non-role players taking all the role play prizes and leaving the role players with nothing they want.)
The games day board has been financed and the bits should be able to be used for club nights too.
We have also bought paint for the terrain boards, and hope to see more painted soon.

Treasurer’s End of Year Report.

Income

Other income (total £226.43) This included money taken for T-shirt sales, money taken on terrain day, advance club entry, and money provided by Definitive Games to cover the hall rent the club paid for them.
Expenditure Rent: £3,784 Snack Bar: £1,421.70 Raffle Vouchers: £200 Other: £1,271.27
Other expenditure (total £1,271.27) This included purchase of T-Shirt order, Members’ Raffle Prizes, Paint for boards, Games Day board and related expenses, new badge order, PLI and website fees.
A note on rent.
This year we paid for 14 months rent and 9 Saturdays. 2 months and 1 Saturday were inherited from last year. (£506)
A note on PLI
This year we paid for 2 years PLI. 1 year was inherited from last year. (£75)
If these figures are taken away from the budget we would have made an annual profit of £405.30 (less any extra money spent to hire bus for Games Day)
A note on exec entry.
The exec rescinded the £1 entry for exec members’ policy. Assuming 4 exec members attend each week this increases the club income by £200 per annum. However a portion of this will be spent on shirts to identify exec members so that new members can more easily access support.
Saturday Events.
We ran 2 40K, 2 WFB and 1 Blood Bowl weekend events. (Other Saturdays were booked ion behalf of Definitive Games, although we shared expense to use 1 as a terrain sorting day)
These 5 events cost £330 in rent. The ticket sales took £368. However, the majority of this was on the two very successful Jan and Feb events. The summer events took in very little (the 3 summer Saturdays totalled £135)
Games Day
Games Day expenses totalled £272.90 plus additional hire of van at: _____________. However, the club has gained extra terrain and shelving, rather than being unable to further benefit from the day.
Members’ Projects.
£20 was spent on paint for the boards. £100 was spent on role play materials
Budget 2009/10
Allowing for a rent increase the club should take in £20 more in entry fee than we pay in rent (Expecting about 40 paying members each week). The snack bar has been making an average weekly profit of £12.16. (Rounded down to £12)
Working on 50 weeks this gives the club a working annual budget of £1600
Proposed Budget
PLI: £80 Website: £110 Games Day: £200 3 Saturday Events @ £100 each: £300 Support for weekend event in March: £100 3 Free entry days (cost in lost entry fee): £240 Members’ Projects: £100 3 Members’ Raffles @ £100 each: £300 Discounting T-Shirt Order and Exec Shirts: £150 Forum: £20
Total: £1600
Note that the events should make some profit. This should serve to cover any losses in other areas, or cover lower than anticipated income. This additional money can also be used to replace terrain, role play resources etc. as required by the membership.
Contingency Fund.
The club account is never to be less than £700 to cover running costs for 8 weeks in case of emergency loss of income. This year the club account has been above £1000 all year. Bank statements are available if members’ wish to see them.
